Still Using @gmail.com for Business? What Fixing It Costs
If your business email still ends in @gmail.com, you're asking customers for trust you haven't signalled. In a GoDaddy survey, 75% of consumers said a domain-based email address is a key factor in trusting a small business. Fixing it costs less than you think: a domain from about $20 a year and a mailbox from $4.99 a month.
Does a Gmail address really cost you customers?
Nobody rejects a plumber for their email address alone. But a free address is one more small doubt, sitting next to others: no website, few reviews, a personal cell number. When a customer is choosing between two businesses they've never heard of, the one that looks established usually wins.
It shows up in replies too. One test of outreach emails found messages from a custom domain got more than twice the reply rate of the same messages sent from Gmail.
| Finding | Number | Source |
|---|---|---|
| Consumers who say a domain email is key to trusting a small business | 75% | GoDaddy consumer survey, as reported by LinkNow Media, 2025 |
| Reply rate, custom domain vs Gmail (same emails) | 28.4% vs 13.6% | VC Boom outreach test, 2026 |
Survey figures are self-reported attitudes, not measured buying behaviour. Treat them as direction, not a guarantee.
What does a professional email setup actually cost?
Less than most owners assume. You need two things: a domain name (yourbusiness.ca or .com) and a mailbox that uses it.
| Item | Typical cost at Web Techies |
|---|---|
| Domain name | From $14.77/year (.com from $19.99 first year) |
| Business email mailbox | From $4.99 per mailbox per month |
| Website hosting (if you need it) | From $7.99/month |
Prices from webtechies.net, checked September 26, 2026. For a one-person business, that's roughly $80 a year for a domain and one mailbox.

Your domain belongs on everything customers see: email, website, cards and your Google profile.
Will switching break my existing email?
It doesn't have to. The safe way to switch:
- Register your domain (keep it in your business name, not a web designer's).
- Create your new mailbox, such as info@ or your first name@.
- Forward your old Gmail to the new address for a few months so nothing is missed.
- Update your signature, website, Google Business Profile, invoices and social profiles.
- Set up SPF, DKIM and DMARC records so your emails land in inboxes, not spam folders.
Step 5 is the one most people skip, and it's the reason "professional" email sometimes ends up in spam. Get it set up correctly once and you won't think about it again.
What else should match your domain?
Once you own the domain, use it everywhere: your website, your email, your booking links and your Google Business Profile. Consistent business details across the web also help you show up in Google and in AI assistants like ChatGPT when people ask who to call.
Frequently asked questions
Should I choose .ca or .com?
If you serve customers in Canada, a .ca signals you're local and is often easier to get with your exact business name. If you sell internationally, .com is the default. Many businesses register both and point one to the other, which also stops someone else from taking the second one.
Can I keep using Gmail's app with my new address?
Often, yes. Many business email services work in the Gmail or Outlook apps on your phone, so your routine barely changes. What changes is the address customers see and the fact that the mailbox belongs to your business, not to a personal Google account.
What are SPF, DKIM and DMARC?
They're three settings on your domain that prove your emails really come from you. Without them, inbox providers are more likely to mark your messages as spam or reject them. They take minutes to set up correctly and are the difference between professional email and email nobody reads.
Who owns the domain if someone else registers it for me?
Whoever's name is on the registration. Make sure the domain is registered to your business and that you have the login. Losing access to a domain you've used for years, because a former designer holds it, is one of the most avoidable problems in small business.
